Organisation Settings

An organisation is the billing account that owns your teams. It lets a company run several programmes — separate LMP2, LMP3, F4 teams, for example — on a single subscription while keeping each programme's vehicles and simulations completely separate.

Access it from User Settings, under Organisation.

Overview

The platform has two levels:

A user belongs to one organisation and to any number of teams within it. Data never crosses a team boundary, so two teams in the same organisation cannot see each other's vehicles or results.

Where membership is managed

All membership changes happen here. The Team page is a read-only roster.


Managing the Organisation

From the Organisation page you can:

  • Rename the organisation
  • View all teams in the organisation as tabs
  • See member and team counts against your plan's limits

Roles

A role is held at the organisation level and applies across every team you belong to. You set it when inviting someone, and can change it later from the member list.

Role What it does
Admin Manages the organisation — invite and remove members, assign members to teams, create teams, rename the organisation, and manage billing
Member Works normally in every team they are assigned to, but cannot manage the organisation
Viewer Selectable, but not yet enforced — currently behaves the same as Member

Admin versus non-admin

Permissions currently come down to whether you are an organisation admin. There are no per-team roles, and the Viewer role does not restrict anything yet.


Inviting Members

  1. Enter the person's email address
  2. Select their organisation role (Admin, Member, or Viewer)
  3. Tick the teams to add them to
  4. Click Invite

The invitee receives an email. Once they accept, they join the organisation and every team you selected.

You can review and cancel outstanding invitations from the same page, and accept or reject invitations sent to you.

Invitations sent to you also appear on the Teams page in User Settings, with the same Accept and Reject buttons, so you can act on one from either place.

Invitations sent before someone has an account

If you invite an email address that has no ARD account yet, the invitation is held until that person signs up. On registering they receive an Organisation Invitation notification in their Activity Centre straight away — the same notification an existing user gets when invited.

Assigning teams later

You do not have to get team assignment right at invite time. An admin can assign or unassign any existing member to or from individual teams afterwards, without re-inviting them.


Removing a Member

Removing someone from the organisation is a cascading action: it drops them from every team in the organisation at once, not just the team you are currently viewing. A confirmation dialog spells this out before the change is applied.


Creating and Managing Teams

Admins can create new teams up to the limit included in the plan. Once a team exists, assign organisation members to it from the Organisation page.

Creating a team gives that group its own isolated workspace — vehicles, tracks, and simulation history — while continuing to draw on the organisation's shared credit pool. Admins can optionally cap how much of that pool a team may spend — see Team Credit Limits.


Team Credit Limits

By default every team draws on the organisation's full credit pool. To cap an individual team's spend instead:

  1. Open the tab for the team you want to limit
  2. Click Set limit (or Edit, if one already exists) under Monthly credit limit
  3. Enter a maximum number of credits, then confirm to save

The tab then shows that team's spend against its limit for the current billing period, with a progress bar that turns red once usage passes 90%. A limit can be removed at any time, and can never be set higher than the organisation's overall credit limit.

What members see

Once a team has a limit, its members see the capped balance rather than the organisation total as their available credits everywhere in the app, including the Simulation Credits card on the Billing page.

Billing lives at the organisation level. Only organisation administrators can access it. See the Billing section of User Settings for plan details.
